If you are a tenant the cost of these cyclical maintenance services is included in your rent.

For leaseholders, charges for these services are included in the repairs and maintenance element of leasehold service charges.

Safety

Fire alarm

  • How often? Weekly
  • Why? To check the alarm operates
  • What is carried out? Weekly rotational checks of manual call points in communal areas (where applicable).
  • How often? Quarterly
  • Why? To identify and report faults and ensure faults are rectified
  • What is carried out? Inspection by an electrician to ensure all serviceable parts of the system function as designed and to record dates of the inspection in the fire log book.
  • How often? Annually
  • Why? Compliance certificates provide assurance the system meets legal requirements
  • What is carried out? Check all automatic and manual devices and issue a compliance certificate.

Smoke detection equipment

  • How often? Quarterly
  • Why? To ensure systems function
  • What is carried out? Test every part of the system over 12 months.

Lightning conductors

  • How often? Annually
  • Why? To ensure fit for purpose and complies to British Standards
  • What is carried out? Physical survey and tests (March).

Extinguishers

  • How often? Annually
  • Why? To ensure they remain fit for purpose
  • What is carried out? Visual inspection and full service of all equipment.

Wet and dry risers

  • How often? Every six months
  • Why? To ensure systems function
  • What is carried out? Visual inspections (Feb/March). Pressure tests (Sept).

Boiler house equipment, gas boilers and flues

Pressure valves and hot water cylinders

  • How often? Annually
  • Why? To ensure they are safe and to prevent microbial growth
  • What is carried out? Inspect and flush out.

Pumps

  • How often? Annually
  • Why? To ensure reliability
  • What is carried out? Service pumps.

Gas boilers

  • How often? Annually
  • Why? To ensure safety and reliability
  • What is carried out? Service and inspection.

Flues

  • How often? Annually
  • Why? To ensure safety and prevent leakage
  • What is carried out? Inspection.

Refuse

Hopper and chute

  • How often? Annually
  • Why? To reduce odours and ensure functionality
  • What is carried out? Cleaning and inspection.

Refuse chutes – fire shutter

  • How often? Annually
  • Why? To ensure they will operate in the event of fire
  • What is carried out? Inspect and service.

Emergency lighting

  • How often? Monthly
  • Why? To identify faults and ensure they are rectified
  • What is carried out? Inspect all lamps to check they operate.
  • How often? Quarterly
  • Why? To report faults and ensure they are rectified
  • What is carried out? Inspect battery backup power unit and inverter (if the system has these). Record inspection dates in fire logbook.
  • How often? Annually
  • Why? To ensure that battery life remains viable and identify if batteries need to be replaced
  • What is carried out? Turn lights onto battery power and check they operate for three hours.

Water

Legionella control and temperature check

  • How often? Quarterly
  • Why? To prevent microbial growth
  • What is carried out? For circulating systems, rotational check on return legs.
  • How often? Monthly
  • Why? To prevent microbial growth
  • What is carried out? Check at sentinel points.
  • How often? Annually
  • Why? To prevent microbial growth
  • What is carried out? Check tanks.
  • How often? Every six months
  • Why? To prevent microbial growth
  • What is carried out? Check at ‘Point of use’ heaters.

Water hygiene

  • How often? Annually
  • Why? To prevent microbial growth
  • What is carried out? Inspect of tanks and pressure vessels, with cleaning as necessary. Water sample analysis.

Electrical

Passenger lifts

  • How often? Monthly
  • Why? To ensure lift(s) runs efficiently and safely
  • What is carried out? Routine adjustments, replacing damaged parts and topping up fluids.

Extractor fans – roof mounted

  • How often? Quarterly
  • Why? To ensure fans remain functional
  • What is carried out? Visual inspection, lubrication and maintenance. Domestic fans not currently undertaken.

Automatic and powered doors

  • How often? Annually
  • Why? To ensure they operate safely. To identify faults and ensure they are rectified
  • What is carried out? Inspection, lubrication and check safety devices.

Convector heaters

  • How often? Annually
  • Why? To ensure safety and reliability
  • What is carried out? Cleaning and servicing.

Fixed wire testing

  • How often? Every five years
  • Why? To ensure safety and compliance to current standards
  • What is carried out? Test to ensure the electrical wiring remains durable and fit for purpose.
